The Pod Post / Australia
Get an office pod approved
Build a proposal around the problem, the selected setup and the site checks.
Show the problem you need to solve
Record overlapping calls, unsuitable meeting-room use or a lack of space for focused work. State who will use the pod and for which tasks. Use observations from your workplace rather than assumed productivity savings.
Itemise the purchase
- Selected model and quantity, with the reason for each.
- Pod, furniture, optional equipment and installation as separate amounts.
- GST and the total approval amount.
- Delivery to the unloading point, plus any internal handling or special access arrangements.
- Stock or production timing, transit and the installation booking as separate stages.
Check the site
Check the proposed location with your building manager or landlord and the relevant certifier before ordering. Requirements depend on the building and installation, including access, floor loading, power, fire services and ventilation.
Include the footprint, usable interior, door swing, ceiling clearance, weight, power and the route from unloading to the final position. Request the applicable drawings, acoustic report and electrical/safety certificates.
A proposal you can adapt
We propose [quantity and model] for [task and users]. Our observations show [current problem and peak demand].
The proposed cost is [pod + furniture + equipment + installation + GST]. Delivery is to the unloading point; [internal handling and access arrangements] are included or separately budgeted.
The proposed position is [location]. We will confirm access, floor loading, power, fire and approval requirements before ordering. Requested delivery and installation timing is [date], subject to confirmation.
After installation, we will review [usage, availability and user feedback] to assess whether the setup meets the need.
Confirm timing before committing
White with a Grey interior is stocked. Orders before 2pm AEST on a business day qualify for same-day dispatch. Confirm the delivery window and installation booking separately. Allow 4–6 hours for assembly, depending on the model; all self-assembly tools are included.
Site and building approval guideGive each reviewer the part they need
A manager needs the work problem and proposed use; finance needs the complete cost; facilities needs the layout, weights, services and access route. Put a short summary at the front, then attach the drawings and itemised quote so each reviewer can check their part.
Compare realistic alternatives
Explain what happens today when the meeting rooms are full or someone needs to take a call. Compare the proposed pod with the alternatives actually available, including moving desks, changing room use or a fit-out. Describe the trade-offs without inventing productivity savings or assuming approval is automatic.
Record what is agreed
Keep the approved model, furniture, position, delivery scope and installation responsibilities together. If the configuration or location changes later, check whether the people who approved it need to review the revised plan.
